When you book an appointment through our website, the data you enter (e.g. name, email address, desired appointment) and your IP address are transmitted to Calendly for coordination. Calendly stores these data on our behalf and does not share them with third parties. The data are used solely for appointment organization and internal planning.

Use of Calendly is based on our legitimate interest (Article 6(1)(f) GDPR) in simplifying and efficiently managing appointments. We have concluded a data processing agreement with Calendly to ensure compliance with data protection requirements.
Calendly retains data only as long as necessary for scheduling; appointment data are typically deleted 90 days after completion.

b) Contract Management with Vinlivt

We use Vinlivt, a service provided by Vinlivt GmbH, Rofanstraße 8, 81825 Munich, Germany, for digital contract management.
In doing so, we process personal data such as names, email addresses, contract documents, and communication histories to securely document and manage contracts.

Processing via Vinlivt is necessary for contract performance (Article 6(1)(b) GDPR) and for our legitimate interest (Article 6(1)(f) GDPR) in efficient contract management. Vinlivt processes all data exclusively on servers located within Germany or the EU and solely on our behalf. No recording or disclosure of data occurs.

c) Online Meetings via Zoom

For online meetings and webinars, we use Zoom, provided by Zoom Video Communications, Inc., 55 Almaden Blvd, San Jose, CA 95113, USA.
When participating in a Zoom meeting, various data are processed, including your name, email address (if required for registration), meeting metadata (topic, time, duration), technical information (IP address, device details), and any contributions made (audio, video, chat messages).

We use Zoom to enable remote communication with clients and partners. Data processing is based on Article 6(1)(b) GDPR where necessary for performance of a contract or pre-contractual measures, and otherwise on our legitimate interest (Article 6(1)(f) GDPR) in efficient communication.

Zoom may process data on servers outside the EU, particularly in the USA. However, Zoom has entered into EU Standard Contractual Clauses and, where applicable, is certified under the EU-US Data Privacy Framework to ensure an adequate level of protection.

d) CRM System “Close” for Client Management

We use the CRM system Close, provided by Close, Inc., to manage client relationships.
Close helps us organize contact information and communication history with our clients and prospects in a structured manner.

We store personal data such as your name, contact information (phone number, email), appointment details, and communication notes. This allows us to maintain effective client support and reference previous interactions.

Use of Close is necessary for contract performance (Article 6(1)(b) GDPR) and, where applicable, based on our legitimate interest (Article 6(1)(f) GDPR) in structured client management.

Close, Inc. processes data on secure servers in the United States. We have concluded EU Standard Contractual Clauses with Close to ensure GDPR-equivalent protection. Close processes data exclusively on our behalf and never for its own purposes.

e) Communication via WhatsApp

We use WhatsApp, provided by WhatsApp Ireland Limited, 4 Grand Canal Square, Dublin 2, Ireland, to communicate with clients and prospects.
When you contact us via WhatsApp, you share your mobile number and potentially other personal data. These are used solely to respond to your inquiry or communicate within an existing client relationship.

Processing is based on our legitimate interest (Article 6(1)(f) GDPR) in enabling fast and direct communication. Please note that WhatsApp may also access communication content, particularly if you have accepted its Terms of Service and Privacy Policy.
